Description

As a Sales Assistant / Sales Secretary, you will play a vital supporting role in our fast-paced real estate sales environment. You will handle administrative tasks, client coordination, documentation, and lead management to help the sales team close more deals efficiently. This position is ideal for an organized, proactive, and customer-focused individual who thrives in a dynamic real estate setting. Job Description (Key Responsibilities) Handle incoming calls, emails, and inquiries from clients, investors, and tenants professionally. Schedule property viewings, client meetings, and follow-ups for sales agents. Prepare and manage sales documents, tenancy contracts, MOUs, and closing paperwork. Maintain and update the CRM system with accurate client data, leads, and interaction history. Assist in listing properties on major portals (Property Finder, Bayut, etc.) and ensure listings are up to date. Coordinate with landlords, developers, and other agencies for property-related matters. Provide administrative support to the sales team (reports, presentations, filing, and office organization). Follow up with potential clients and nurture leads through calls and messages. Support marketing activities such as preparing property brochures, social media content, and open house events. Ensure compliance with RERA regulations and company policies in all documentation. Skills and Knowledge (Requirements) Essential Skills & Qualifications: Excellent Communication Skills — Fluent in English (spoken and written). Arabic is highly preferred; any additional language (Russian, Hindi, Persian) is a strong advantage. Minimum 1–3 years of experience as Sales Assistant, Sales Secretary, or Admin in real estate, brokerage, or customer service. Strong organizational and multitasking abilities with high attention to detail. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace. Experience with CRM systems (Salesforce, Follow Up Boss, or similar real estate CRMs) is a big plus. Good knowledge of Dubai real estate market, RERA regulations, and basic sales processes. Professional phone etiquette and strong customer service orientation. Ability to work under pressure and meet deadlines in a target-driven environment. Preferred Qualifications: Valid UAE driving license and own car (advantageous for viewings). Real estate background or previous experience in a brokerage firm. Bachelor’s degree in Business Administration, Marketing, or related field. Familiarity with property listing portals (Property Finder, Bayut, Dubizzle).
