We are looking for an enthusiastic person that will organize and coordinate office administration and procedures, to ensure organizational effectiveness. We are searching for an energetic and multitasking person, that can handle a wide range of administrative and executive support-related tasks. As Office Coordinator you will be responsible for developing intra-office communication protocols, streamlining administrative procedures, office staff supervision, and task delegation. Most importantly we are looking for someone who can thrive in a rapidly growing and dynamic environment where adaptability, teamwork, and proactivity are essential.
Tasks will include:
Manage invoicing and relationships with suppliers and clients.
Manage the different accounting ledgers and support to the Finance Accountant.
Analyse data and create reports to deliver to Senior Management.
Ensure the security, integrity, and confidentiality of data.
Work directly with the CEO to manage operational initiatives across the business.
Assist the Management team members by organizing their schedules and handling their requests.
Coordinate all travel arrangements, including flights, ground transport, hotel bookings, security details, visas, and other necessary documents.
Organize and implement company-wide events or messages developed by Senior Management.
Organize supplies and deliveries for the office.
Be multitasking, supporting different kinds of operational and business tasks.
Minimum requirements:
3 years of working experience.
Fluent in spoken and written English.
Knowledge of InDesign (intermediate level), and Excel (intermediate level).
Previous experience in an architectural firm and Odoo CRM platform will be highly valued.
