Job Summary: We are looking for an experienced Admin/ Office Coordinator to provide administrative support to the Team/Director, holding valid driving licence and able to drive in Dubai. You will be responsible for ensuring the smooth operation of our office, managing administrative tasks, and providing exceptional client service (on the phone). Key Responsibilities: • Personal support: assisting with children’s schedules, attending meetings, handling reservations, travel bookings, and daily personal tasks • Running errands, visiting locations, or representing the director when needed • Oversee and coordinate daily office operations, including scheduling meetings, maintaining office supplies, and handling correspondence. • Provide administrative support to the Director, including preparing meeting materials, coordinating travel arrangements, and managing calendars. • Manage day-to-day office operations, such as answering phone calls, responding to emails, and greeting clients. • Maintain accurate and up-to-date records, including client files, meeting notes, and other administrative documents. • Develop and implement administrative processes and procedures to enhance office efficiency. • Assist with financial tasks, including invoicing, expense reports, budget tracking and basic bookkeeping tasks. • Handle confidential information with discretion and professionalism. • Provide exceptional client service by responding to inquiries and resolving issues promptly and professionally. • Liaise with clients to schedule appointments, confirm meetings, and provide logistical support. • Assist with basic bookkeeping tasks and expense reporting. Qualifications: • Proven experience as an Office Coordinator, Administrative Assistant, or similar role. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software. • High school diploma or equivalent required; post-secondary education in business administration or a related field is an asset • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients. • Highly organized and efficient, with the ability to prioritize tasks. • Ability to maintain confidentiality and handle sensitive information with discretion. • Strong problem-solving skills, with the ability to think critically and resolve issues in a timely and professional manner.
