Key Responsibilities: Reception Duties: • Manage the front desk and serve as the first point of contact for clients and visitors. • Answer, screen, and route phone calls professionally; take accurate messages when required. • Respond to inquiries via email, phone, or in-person with efficiency and courtesy. • Use AI tools and Bitrix24 CRM to log inquiries, schedule appointments, and track communications. Administrative Support: • Maintain office supplies, manage inventory, and coordinate with vendors for replenishment. • Handle incoming and outgoing correspondence, including mail and courier services. • Use AI-powered tools to organize documents, automate filing, and streamline administrative tasks. • Assist in preparing reports, presentations, and meeting materials as required. Scheduling and Coordination: • Manage and update calendars for meetings, events, and deadlines using Bitrix24 and AI scheduling tools. • Coordinate meeting arrangements, including booking venues, setting up equipment, and preparing agendas. Office Management: • Oversee the cleanliness and organization of the reception area and meeting rooms. • Use AI solutions to track and improve office workflow efficiency. Key Skills & Requirements: • Experience: At least 2 years of experience in administrative or receptionist roles, preferably in real estate or tech-driven industries. • Technical Skills: Proficiency in using office tools, Bitrix24 CRM, and basic AI tools. • Communication: Excellent verbal and written communication skills in English. • Organizational Skills: Strong multitasking, time-management, and attention-to-detail capabilities. • Customer Service: Friendly demeanor with a customer-focused attitude. • Tech-Savvy: Ability to quickly learn and adapt to new AI tools and CRM software. Key Performance Indicators (KPIs): • Reduction in response time to client inquiries by 20% through effective use of AI tools. • Maintenance of a welcoming and organized reception area (feedback score: 90% or higher). • Timely and accurate completion of administrative tasks and reports (target: 95%). • Positive feedback from internal teams on coordination and support (score: 90% or higher).
